Rentals: Frequently Asked Questions
FAQ: Weddings and Special Events
Q. Which historic buildings are available for weddings and social events in Waterford?
The biggest, most versatile, and best equipped historic building is the Waterford Old School with its new auditorium, kitchen, atrium and roofed stone terrace. The Old School auditorium will accommodate 150-200 guests. Across the street are two active churches: the Catoctin Presbyterian Church and Waterford Baptist Church, which can be booked for wedding ceremonies directly.
The oldest part of the Old School is its historic 1910 classroom building. The first floor classrooms, foyer, and restrooms adjoin the new auditorium building. Both classrooms feature tall ceilings, large windows, polished wood floors, and early 20th century architectural details like real blackboards, iron radiators, and bead board paneling.
The roofed stone terrace and surrounding meadow can also be used for outdoor ceremonies and receptions. All of the spaces may be combined for large events. The classroom building is ideal for small receptions, rehearsal dinners or brunches, brides’ dressing room, or gathering room for the groom and his attendants.
The Old School can be rented for weddings and social events for $2,500 for a full day, including the Rental Coordinator fee. An additional $225 cleaning fee and $50 per hour parking attendant fee may be required.
The historic John Wesley Community Church is available for simple old-fashioned nonsectarian weddings of 125 or fewer guests. This lovely Greek Revival church has a first-floor sanctuary equipped with handsome old wooden pews, a piano, pulpit, and air conditioning. The Fellowship Hall below provides space for small informal receptions. The building has no water, so portable toilets are required. The Sanctuary and Fellowship Hall of the John Wesley Church can be rented for $1,000 for a full day, plus $100 cleaning fee and for weddings and special events a $500 Rental Coordinator fee.
Bond Street Meadow. Located across from the John Wesley Church, this lovely “village green” provides a true country meadow type space, which with the addition of a tent could accommodate up to 200 people. There are no bathroom or kitchen facilities; electricity is available. It is also used for parking at the John Wesley Church, weather permitting. The Bond Street Meadow can be rented for $750 for a full day, plus $150 tent fee, and for weddings and special events a $500 Rental Coordinator fee.
Q. What equipment does the Foundation provide?
The Waterford Foundation can provide 60-inch long folding banquet tables and chairs upon request. All other equipment must be provided by the caterer or rented.
Q. May we tent the property?
Tents are not allowed on the grounds of the Waterford Old School. They are permitted on the Bond Street Meadow for an additional fee of $150, but must be approved by the Waterford Foundation. The tent may be installed the day before the event and dismantled by the end of the next business day.
Q. May we use our own caterer?
The Waterford Foundation requires the use of our approved caterers, all of whom are experienced in working with Waterford, the Old School, and other historic properties. We make an exception only if our caterers cannot meet certain dietary needs or, for example, prepare a specific ethnic food.
Q. Do you have any alcohol restrictions?
Our approved caterers are licensed to serve liquor and enforce state laws and Waterford regulations. Specifically, 1) bartender(s) provided by the caterer must attend bar(s) throughout the event; 2) guests are prohibited from serving alcohol, including kegs, to themselves or other guests; and 3) under-age drinking is strictly prohibited.
Q. How many hours may we rent the site?
Our rentals for large special events are for 10 hours, with two hours for setup and one hour for cleanup. All events, however, must conclude by 11 p.m., with the bar closing at 10:30.
Q. Are we permitted to have amplified music for our event?
Part of the charm of the Waterford Old School is its setting in an historic village. To ensure both a festive event for our guests and privacy for our neighbors, no Amplified Music is permitted outside Waterford Foundation buildings. Music inside the building in use should not be heard outside beyond the closest property line. All of our buildings have residential neighbors. Please respect their privacy and property. There is an 11 p.m. cutoff time for all music on Friday and Saturday; cutoff time is 10 p.m. Sunday through Thursday.
Q. Where may we and our guests park?
Parking is available only on the Old School property or by special arrangement on the Bond Street Meadow. Do not park on our village streets. Most homes do not have driveways, so the streets are where villagers must park, and the streets accommodate few additional cars. A parking attendant is required for events with more than 75 guests at an additional cost of $50 per hour .
Q. How many weddings do you have per day?
The day is yours—we only have one wedding/reception per day.
Q. Is a Security Deposit required?
Yes. We require a security deposit of $1,000 payable at the time you sign your contract. This reserves your date. It is fully refundable after your event as long as no damage is done to the property by you, your guests, or your vendors.
Q. How long will it take to get my deposit returned?
Your deposit should be returned within two weeks of your event. If you would like it back sooner you can request that we send it as soon as we have assessed the property after your event.
Q. How far in advance should I book my date?
As soon as possible.
Q. Are there any insurance requirements?
Yes. You must provide a Certificate of Insurance indicating personal or commercial general liability coverage with a combined single limit of $1 million per occurrence. It must state that the Waterford Foundation, Inc., is an Additional Insured. Evidence of this insurance is due with your final payment. If your insurance company does not provide this type of coverage, you may visit www.wedsafe.com to purchase a policy. The toll free number is 877-723-3933.
Q. I’ve read that many historic sites have special safety rules. What are the restrictions on the use of the Waterford Old School and other historic properties in the Landmark?
Smoking is not permitted in any building, on any patios, or within 25 feet of either. Ashtrays must be provided outside if your guests are going to smoke there.
No Fires, fireworks, sparklers or any other open flames are allowed anywhere on Waterford Foundation property. Gas grills will be allowed outside if attended at all times. They must be at least 15 feet away from all buildings and patios. Battery-operated candles are allowed inside.
Nothing may be nailed, taped or otherwise affixed to the exterior or interior walls, fixtures, floors, or entrances of any Waterford Foundation building.
Pets are not allowed in any of the indoor areas onsite and must be on a leash for the outdoor areas at all times. Pet owners are responsible for cleaning up after pets or a fee will be taken from the deposit to cover cleanup time by staff. Pets only for ADA.
Q. Are there any other restrictions on decorations?
Confetti, party-poppers, silly-string, and rice are prohibited inside and outside all Waterford Foundation properties. Only birdseed, grass seed, bubbles, or real flower petals may be dispensed outside the buildings.
Q. Can I set up the day before? Can I clean up the day after?
We prefer that you set up the morning of your wedding, although special permission may be granted upon request. Removal of all your event-related items must be completed immediately following the event or by the end of the next business day. All buildings must be vacated by midnight on Friday and Saturday and by 11 p.m. Sunday through Thursday.
Lost articles left after an event may be held for one week and then discarded if unclaimed. The Waterford Foundation shall not be held responsible or liable for any lost items.
Q. Are there bathrooms/electricity/lighting available at all the areas onsite?
Q. Can you hold a date for me?
We cannot hold any date without a deposit and facility use application. Half of your Rental fee is due with a signed copy of this agreement to guarantee your reservation of the property for your event.
Q. What is your cancellation policy?
Half of your Rental fee is due with a signed copy of this agreement to guarantee your reservation of the property for your event. This fee is nonrefundable unless the event must be cancelled by the Waterford Foundation due to an Act of God that might make the property unusable.
